Personal Data (Privacy) Ordinance / PDPA

Voyage IP Pte. Ltd. and Voyage IP (Hong Kong) Limited (together, “Voyage IP”, “we”, “us”) comply with the Personal Data (Privacy) Ordinance of Hong Kong (PDPO) and the Personal Data Protection Act 2012 of Singapore (PDPA). For general information on the PDPO, visit the Office of the Privacy Commissioner for Personal Data (PCPD).  

Your personal data

It is our policy to protect the privacy of users of this website (the Website). We may collect a limited amount of personal data (information relating to an identifiable individual). For example:

  • When you visit the Website, standard technical/usage data (e.g., IP address, device/browser, pages viewed) are recorded by our servers.
  • When you use Contact us or email us, you may provide identity/contact details, enquiry text and attachments.
  • When you request national phase estimates, you may provide PCT/WO numbers; we may retrieve related public bibliographic data from patent databases to scope your estimate.

Please do not include confidential or special-category information in Website forms/emails.

Collection and use of your personal data

We use personal data collected on the Website only for the specific purposes stated at the time of collection or for purposes directly related to those purposes, including: responding to your enquiries and estimate requests; operating, securing and improving the Website (including analytics); performing preliminary client-intake checks if you ask to engage us; complying with laws; and protecting our rights and users. Where required by the PDPO/PDPA, we will provide a Personal Information Collection Statement (PICS) at or before collection.  

Direct marketing

We will only use your name and contact details for direct marketing (e.g., insights, events) in accordance with applicable law:

  • Hong Kong: we will provide the prescribed information and obtain your consent / indication of no objection before using your data for direct marketing or providing it to others for that purpose. You may opt out at any time.  
  • Singapore: we follow PDPA and Spam/UEM rules; all messages include an unsubscribe.

To stop receiving marketing, email contact@voyageip.com with the subject “Unsubscribe”.

Retention of your personal data

We keep personal data only as long as necessary to fulfil the purpose of collection (and related purposes) and to meet legal, regulatory, tax and accounting requirements. After that, we erase or anonymise the data.

Use of Website

The Website may include links, plug-ins or embedded content from third parties. Clicking or enabling these may allow third parties to collect or share data about you. We do not control these third-party properties and are not responsible for their privacy practices. Please review their privacy terms before using them.

Disclosure

We keep your personal data confidential. We may disclose it to:

  • Service providers/agents (hosting, security, analytics, email/CRM, form handling);
  • Professional advisers and, where required, regulators or authorities;
  • Foreign associates/agents to scope or deliver services you request (e.g., estimates/filings);
  • A buyer or transferee in a corporate reorganisation, subject to confidentiality.
  • We do not sell personal data.

Security

We apply appropriate technical and organisational measures to prevent unauthorised access, disclosure, alteration or loss (for example, access controls, least-privilege practices, encryption in transit where appropriate, monitoring). Vendors are risk-assessed and access is limited to personnel who need it. For HK, PCPD’s breach guidance recommends notification to PCPD/individuals where there is a real risk of harm; although not legally mandatory, we follow that guidance.  

Your right of access to and to correct personal data (Hong Kong)

Under the PDPO, you are entitled to check whether we hold data about you, to access that data, and to request correction of any inaccuracies. We will respond within 40 days of a valid data access request and may charge a reasonable fee as permitted by law. Requests should be sent to contact@voyageip.com with the subject “Attention: DPO Voyage IP”.  

Cookie usage policy

Cookies are small text files placed on your device. We use cookies and similar technologies to operate the Website, understand usage (e.g., number of visitors, pages visited, time spent) and, if you opt in to our mailings, to understand whether emails are opened and links clicked, and whether you later visit the Website. You can refuse or withdraw consent to cookies at any time via your browser settings (and, where provided, our banner/preferences centre). Removing cookies may affect Website functionality. Cross-border transfers

We may transfer personal data outside Hong Kong/Singapore (e.g., to cloud providers or foreign associates).

  • Hong Kong: Section 33 (cross-border transfer restriction) is not yet in force; we adopt comparable protection measures per PCPD guidance.  
  • Singapore: we ensure recipients provide protection comparable to the PDPA (e.g., contractual safeguards/assessments).

Appendix — EEA/UK (GDPR / UK GDPR)

Application. This Appendix applies when we process personal data of individuals in the European Economic Area (EEA) or United Kingdom (for example, when you submit a “Contact us” enquiry or request a national phase estimate and provide PCT/WO numbers). If there is any inconsistency with the main Policy, this Appendix prevails for EEA/UK processing.

Principles. We process EEA/UK personal data lawfully, fairly and transparently, for specified and compatible purposes, using data that is adequate, relevant and limited to what is necessary; we keep it accurate, retain it only as needed, and protect it with appropriate security measures.

Lawful bases.

  • Steps to contract / contract (Art. 6(1)(b) GDPR / UK GDPR) — responding to your enquiry, scoping and preparing national phase estimates.
  • Legitimate interests (Art. 6(1)(f)) — operating, securing and improving the Website (balanced against your interests).
  • Consent (Art. 6(1)(a)) — direct marketing (if any) and non-essential cookies/trackers; you can withdraw consent at any time via links or your preferences.

We do not use automated decision-making that produces legal effects about you.

Controller / processor roles. For Website interactions we act as controller. Where an EU/UK firm instructs us and discloses personal data for a specific purpose, we may act as processor and will: process on documented instructions, ensure confidentiality, use sub-processors only under appropriate contracts, assist with data subject rights, and implement suitable security.

International transfers. If we transfer EEA/UK personal data outside the EEA/UK (e.g., to hosting or regional associates), we use appropriate safeguards such as the EU Standard Contractual Clauses (SCCs) and the UK International Data Transfer Agreement/Addendum (plus transfer risk assessments where required). We do not rely on consent as our primary transfer mechanism.

Your rights. You have rights to access, rectification, erasure, restriction, objection, and data portability, and to withdraw consent at any time. You can also lodge a complaint with your local supervisory authority. To exercise rights, email contact@voyageip.com with subject “Attention: DPO Voyage IP”.

Cookies. For EEA/UK visitors, non-essential cookies/trackers (e.g., analytics/marketing) are off by default and will only be set after your consent via our banner/preferences centre. You can change your preferences at any time.
